The Retreat by Sarah Barker
Terms & Conditions
Welcome
Welcome to The Retreat by Sarah Barker.
My aim is to provide a calm, private and professional experience, where every appointment is personalised and your safety is my highest priority.
By booking an appointment with me, you agree to these Terms & Conditions.
Appointments
The Retreat is a private, appointment-only practice.
I do not accept walk-in appointments.
Appointments can be booked online and are reserved exclusively for you.
To ensure every client receives my full attention, I do not routinely answer telephone calls whilst I am treating clients.
For all non-urgent enquiries, please contact me by text message. This is the quickest and easiest way to reach me.
I aim to respond within two working days during my business hours. As I am often treating clients, I may not be able to reply immediately.
Please note that emails and WhatsApp messages are checked less frequently and may take longer to receive a response.
Clinical advice cannot usually be provided by telephone, social media or messaging. Where appropriate, I will invite you to book a review or consultation appointment.
New Patient Consultation
All new clients are required to attend a consultation before treatment.
The consultation fee is £50.
This fee reflects the time taken to assess your medical history, discuss your concerns, explain treatment options, answer your questions and formulate a safe, personalised treatment plan.
If you choose to proceed with treatment on the same day, the consultation fee will be deducted from the cost of your treatment.
If you decide not to proceed, the consultation fee remains payable as it covers my professional time and clinical expertise.
Booking a consultation does not guarantee that treatment will be carried out.
I will only recommend and provide treatment that I believe is clinically appropriate and in your best interests.
Treatment Decisions
As an independent Nurse Prescriber, my professional responsibility is to provide safe and ethical care.
I reserve the right to decline, postpone or discontinue treatment if I believe:
- Treatment is not clinically appropriate.
- Your expectations are unrealistic.
- Treatment would not produce a suitable outcome.
- You request treatment that I do not feel is in your best interests.
- Relevant medical information has not been disclosed.
- I cannot obtain informed consent.
- You appear under the influence of alcohol or recreational drugs.
- Your behaviour is abusive, aggressive or inappropriate.
My clinical decision is final.
Deposits
A deposit is required to secure all appointments.
Deposits are non-refundable.
Appointments may be rearranged once if at least 48 hours’ notice is provided.
Appointments cancelled with less than 48 hours’ notice, or missed without notice, will forfeit the deposit.
Repeated cancellations or non-attendance may result in future bookings being declined.
Late Arrivals
Please arrive on time.
If you arrive late, your appointment may need to be shortened or cancelled to avoid affecting subsequent appointments.
Where treatment cannot safely be completed, your appointment will be cancelled and your deposit retained.
Medical Information
It is your responsibility to inform me of any changes to your health, medications, allergies or medical history before every appointment.
Failure to disclose relevant information may affect your suitability for treatment.
I cannot accept responsibility for complications resulting from incomplete or inaccurate medical information.
Payment
Payment is due immediately following treatment.
Prices may change without prior notice.
The price confirmed at the time of booking will apply to your appointment.
Treatment Results
Aesthetic medicine is not an exact science.
Every individual responds differently to treatment and results cannot be guaranteed.
Treatment longevity, symmetry and final outcomes vary between individuals.
Additional treatments may be recommended and will be charged separately.
Reviews
Where appropriate, I may recommend a review appointment.
Review appointments are intended to assess your treatment outcome and do not automatically include additional treatment.
Any additional product or treatment required may incur further charges.
Aftercare & Complications
You will receive detailed verbal and written aftercare advice.
It is your responsibility to follow this advice.
If you have concerns following treatment, please contact me via WhatsApp or email, including photographs where appropriate.
I aim to respond as soon as reasonably possible during business hours.
If you experience severe pain, skin blanching, visual disturbance, difficulty breathing or any other medical emergency, you must seek immediate emergency medical attention by calling 999 or attending your nearest Emergency Department.
Photography
Clinical photographs form part of your confidential medical record.
They allow me to safely assess treatment outcomes and monitor your progress.
Clinical photographs will never be used for marketing without your separate written consent.
Children & Guests
To maintain a calm and safe environment, please attend your appointment alone unless you have agreed otherwise with me in advance.
Unfortunately I cannot accommodate children during appointments.
Respect Policy
The Retreat operates a zero-tolerance policy towards abusive, threatening or inappropriate behaviour.
I reserve the right to end your appointment immediately and decline future treatment.
Privacy
Your personal information is stored securely in accordance with UK GDPR and professional record-keeping requirements.
Additional Practice Policies
Minimum Appointment Value
To ensure I can continue to provide unhurried, personalised care, appointments are reserved for treatments with a minimum value of £150.
If you are unsure which treatment is appropriate, please book a consultation.
Treatment Planning
I believe that less is often more.
My recommendations will always be based on what I feel is clinically appropriate and aesthetically balanced.
I will not carry out treatment simply because it has been requested if I do not believe it is in your best interests.
Prescribing
Some treatments require a face-to-face medical assessment before a prescription can be issued.
A consultation does not guarantee that treatment will be prescribed or performed.
All prescribing decisions are made solely on clinical grounds.
Communication
To provide every client with my full attention during appointments, I do not routinely answer telephone calls.
The quickest way to contact me is via WhatsApp or email.
Please note:
• I am unable to provide detailed treatment recommendations via social media, text message or WhatsApp.
• Treatment plans are discussed during consultations.
• Quotes are provided following a consultation, as every treatment plan is bespoke.
• I do not routinely respond to messages outside my published business hours.
Review Appointments
Should you have any concerns following treatment, I am happy to review you where clinically appropriate.
Review appointments should be booked within the recommended review period discussed during your appointment.
Requests for reviews outside this timeframe may incur a consultation fee.
Refund Policy
Due to the nature of medical aesthetic treatments, refunds cannot be provided for treatments that have been carried out.
If you have any concerns regarding your results, I encourage you to contact me so that I can assess you and discuss the most appropriate management plan.
This does not affect your statutory rights.
Products
For hygiene and safety reasons, skincare products cannot be returned once opened unless faulty.
Right to Refuse Future Bookings
I reserve the right to decline future appointments where there is a history of repeated cancellations, missed appointments, abusive behaviour, non-payment or failure to follow aftercare advice.
Social Media
Whilst I appreciate every recommendation, I kindly ask that treatment advice is not requested through Facebook, Instagram or other social media platforms.
Medical advice can only be provided following an appropriate consultation and assessment.
Privacy During Appointments
To maintain the privacy and comfort of all clients, photography, filming and video calls during appointments are not permitted unless agreed with me in advance.
Emergencies
The Retreat is not an emergency medical service.
Messages are monitored during business hours only.
If you believe you are experiencing a medical emergency, including severe pain, skin blanching, vision changes, difficulty breathing or signs of an allergic reaction, you should call 111 for advice or call 999 or attend your nearest Emergency Department immediately.
Changes to These Terms
I may update these Terms & Conditions from time to time.
The latest version will always be available on my website.
